ToolBook 9.5 new activation technology is designed to have a minimal impact on licensed users. Activation does not collect, transmit, or use any personally identifiable information or hinder licensed users' ability to use the software the way they always have under the ToolBook product licence agreement.

How long does activation take?

Product activation is a simple and straightforward process. In most cases, the only information required to activate is a licence key provide to you by the publisher SumTotal upon purchasing a new licence or product upgrade.

Product Activation takes less than one minute when completed over the Internet.

What if I received the software but haven't yet received the activation licence key?

To make activation convenient, the product does not require activation immediately after installation. ToolBook will allow 21 days from first use before requiring activation. To elect this option, select the trial mode in the activation screen.

What happens during activation?

When a customer installs ToolBook, and subsequently launches the ToolBook for the first time, they are asked to enter a license key. The licence information is sent to SumTotal, and once the licence key is verified in real time, the product is activated and available for use. This process requires a live Internet connection and usually takes ten seconds. If you do not have a live Internet connection you can utilize ToolBook in a Trial Mode for up to 21 days, until you can obtain Internet access.

How will the activation information be used?

The unique licence key assigned to each copy of the ToolBook software is provided to SumTotal to help ensure that each genuine copy of its software is not activated more than the permitted number of times. SumTotal's activation system does not collect, transmit, or use any personal information.

Is activation mandatory?

Yes. You must activate your ToolBook software to validate that your licence key is used in accordance with the End-User License Agreement. A simplified process in which processing is performed transparently and automatically right after you install the software makes activation easy and convenient.

Can I use the software on more than one computer at a time?

The ToolBook product licence agreement allows the primary user to install the product on a primary computer and also on a home or laptop computer for their use, provided that the two copies are not used simultaneously. While the activation process supports installing and activating ToolBook software on two computers, use of the product on the second computer is restricted to the user who licensed the software. Allowing others to use a second copy of the software violates the product licence agreement.

Using a different license key

If you would like to Activate ToolBook using a different licence key, for an installation of ToolBook which has already been activated, you can do so by accessing the Activation Dialogue by choosing License Activation from the Help menu. Before can activate with a new key, you must first Deactivate ToolBook using the Deactivate option in this dialogue. Deactivating will tell the back-end activation server that this particular computer is no longer using that key.

The option to enter a License Key is greyed out and disabled

If an Internet connection cannot be detected at the time the Activation Dialogue is opened, the choice to enter a Licence Key will be disabled. To fix this, close the activation dialogue, establish your Internet connection, and open the Activation dialogue again.

Getting an Invalid License Key error

The licence key is made up of two text strings with a dash in between. Ensure you enter your licence key exactly the same way it is provided to you. If the licence key you enter does not match an existing licence key on our licensing server, this error will occur.

Getting a Product Activation Failed error

This error means that the licensing server had determined that ToolBook cannot be activated on this particular computer. Possible reasons for such a message:

  • Each time you activate ToolBook on a different computer, you use up one of your available licenses for your license key. You'll see this error if you exceed the total number of licenses you have purchased.
  • The license key is no longer valid. This can occur if you cancel an order or return a product.

Configuring Proxy Settings

If you need to configure proxy settings in order to allow ToolBook's activation logic to use your Internet connection, use the Proxy Settings button in the Activation dialogue, and enter your proxy information in the format of:

<server>:<port>

such as www.company.com:8873

ToolBook Will Not Open

If you are a standard User on your Windows machine and you had an Administrator install ToolBook for you, ensure that the Administrator activates your copy of ToolBook. If the Administrator does not activate ToolBook prior to you logging in as a standard User, ToolBook will be unable to start. To fix this, have the Administrator log back in and Activate ToolBook.
